Creating. Editing, and Deleting Appointments

Use the Edit Appointment dialog at the bottom of the Calendar window to create new appointments, edit existing appointments, and delete appointments. To create a new appointment, click the Create Appointment icon. To edit an appointment, click on the link of an existing appointment. The appointment specifics will display in the Edit Appointment dialog, where you can edit the appointment or delete it.

There are two required fields to fill in - date and description.

Date is defaulted to the current date. The dates must be formatted as MM/DD/YY or MM/DD/YYYY in the American English locale. Other locales will have their own specific date formatting.

Start and end time are defaulted to 9:00 am to 10:00 am respectively. If you have set different start and end times in the Properties dialog, those times will show up as the default. Times must be formatted as 0:00 am or pm, with a space between the time and am or pm. For example, if you are entering a time for a noon appointment, you would enter 12:00 pm. If you are entering a 9:00 am appointment, you would enter 9:00 am without any leading zeros.

The description field is a text field in which you can type the purpose or location of a meeting, the person you are meeting with, or other relevant information to the appointment.

The Occurs parameter is optional. This field sets the appointment frequency, with the following choices:

One Time (the default)
Daily
Weekly
Bi-Weekly
Monthly by Weekday
Monthly by Date
Yearly
Monday thru Friday
Mon, Wed, Fri
Tuesday, Thursday
The Times field is optional and sets the number of times the appointment is to take place. The default is 1 time. You can type in a time or choose Forever, which sets the appointment to recur indefinitely.

The Others See parameter is optional and determines what other users see when browsing your calendar. The default is Time and Text, which means that others will see the time and text of your calendar appointments. You can also choose Time, which means that others will only see the appointment times in your calendar or Nothing, which renders the appointment invisible to others, though you still see it on your calendar.


Creating an Appointment

You can create a new appointment for a selected date and time in your calendar. Once you create an appointment, it will show up in your calendar as a clickable link.

  1. Choose the Day, Week, Month, or Year view for which you want to make an appointment.
  2. Click the Create Appointment icon to bring up the editing dialog.
  3. Enter the start time in the Start box.
  4. Enter the end time in the End box.

Note - Appointments can be entered with no start or end times, or with only a start time. They cannot be entered with only an end time. If you don't choose a start or end time, the appointment shows up in the blank slot at the top of the Day view calendar. If you choose a start time with no end time, the appointment shows up at the specified start time. If you choose an end time but no start time, you will get an error message.
  5. Enter the appointment text in the description field. For example, you may want to enter the location or purpose of the meeting.
  6. To choose the frequency of the appointment, select a choice from the Occurs menu.
  The default is One Time.
  7. Choose how many times the appointment should occur. Click the text field and type in a time or select Forever from the Times menu.
  The default is 1 time.
  8. To choose how others see the appointment, click the Others See menu and scroll to your selection.
  The default is Time and Text.
  9. To add the appointment to the calendar, click the Schedule button.The appointment will appear in the calendar view.

Creating Multiple Appointments

  Follow the steps for creating an appointment to add multiple appointments to your calendar.

Editing an Appointment

You can make selected edits to an existing appointment in your calendar.

  1. Click the appointment link you want to edit. The appointment settings and description will appear in the Edit Appointment dialog.
  2. To change one field, click that field and edit the information.
  3. Click the Modify button to change the appointment on the calendar.

Deleting an Appointment

You can delete an existing appointment from your calendar.

  1. Choose the appointment to delete. The appointment settings and description will appear in the Edit Appointment dialog at the bottom of the window.
  2. Click the Delete button. The screen will refresh and the deleted appointment will be removed from the calendar.
